Your organisation's profile and branding
Org Management → Overall Settings holds who your organisation is. It is administrators only — a manager runs programmes, an administrator decides what the organisation is.
Three tabs:
| Tab | What is on it |
|---|---|
| General | Profile details and branding |
| Custom Links | Social links, quick links, pop-up banners |
| Custom Branding | Custom domain and outgoing email |
The naming is a little unhelpful: logo and colours are on General, not on Custom Branding. Custom Branding is domains and mail, which are covered in Domain and email.
Profile details
| Field | What it is used for |
|---|---|
| Organisation name | Header, page titles, certificates |
| Organisation slug | Your address — slug.rukialabs.com |
| Legal name | Billing and official documents |
| Tax PIN | Billing. Required in some countries |
| Billing email | Where invoices and receipts go |
| Country | Your resident country, for tax purposes |
| Support email | Where members are told to write for help |
| Support phone | Pick the country, then the number without its dialling code |
| Default timezone | The timezone class times are shown in |
| Default currency | For anything priced |
Set the support email. It is the one field here with a real behavioural consequence: it is what a suspended member's sign-in screen tells them to write to, and it signs your transactional mail. Without it, somebody locked out is told to contact an administrator with no way to do so.
Branding
Logo. Shown in the header of all three consoles, on the sign-in page, on share pages and on certificates.
An SVG, or a PNG with a transparent background, works best. The logo sits on both light and dark surfaces, and a baked-in white rectangle shows badly on the dark one.
Uploads are resized to 800 px and converted to WebP, so a source at twice that width gives the crispest result.
Colours. Four values: a primary and an accent, for light mode and for dark mode.
Primary is buttons, links, active states and highlights. Accent is hovers and small pieces — badges, icons.
Set both modes if they need to differ. A mid-tone that works on white often lacks contrast on the dark background, and one value has to compromise between them. Set only the light pair and the dark is derived from it, which is a reasonable default and not as good as choosing.
There is a live preview beside the form. Use it — a colour that looks right in a swatch can be unreadable as button text.
Where branding is applied
Everywhere, including some places that are easy to forget:
- All three consoles, from the first frame of the first page load
- The sign-in page, served from your own address
- These documentation pages, when read at
yourorg.rukialabs.com/docs - Public share pages for badges, courses and profiles
- Certificates, student ID cards and gradebooks
The general documentation at docs.rukialabs.com keeps Rukia Labs' own branding.
It is the same content; only the colours differ, because that copy belongs to no
single organisation.
Custom Links
Social links appear in the footer of the consoles.
Quick links are shortcuts you want your members to have — a handbook, a help desk, a community space.
Pop-up banners are timed announcements that appear over the product. They are the loudest channel available and should be reserved for things that warrant interrupting somebody: a deadline, an outage, an enrolment window closing. Used for routine notices they train people to dismiss without reading, and then they do not work when you need them.
For anything that is not urgent, an announcement is the right tool.
When a change does not appear
Branding is applied at page load. After saving, an open tab keeps the old values until it is reloaded. Reload before concluding a change did not save.
If it is still missing after a reload, it is almost always a browser cache; a hard refresh settles it. Branding also reaches tenants through a short-lived cache, so a change can take a minute or two to appear on every surface.
Two colours you cannot override are the semantic ones — success green, error red, warning amber, info blue. They mean the same thing in every organisation on purpose.
