Classes and attendance
All Classes is every scheduled class in the organisation, across every cohort and instructor. All Submissions is its equivalent for work handed in.
The tools are the same ones instructors use, documented in Running classes. What follows is what an administrator specifically needs from them.
What this screen is for
Three questions that no single instructor's view can answer:
Is the timetable actually laid out? A cohort three weeks from starting with no sessions scheduled is a problem best found now.
Are registers being taken? Attendance usually carries a quarter of the final grade. Unmarked registers are unawarded marks, and they accumulate quietly.
Are classes clashing? Two classes for the same cohort at the same hour, or one instructor booked twice, are visible here and nowhere else.
Classes and sessions
- A class is what was scheduled: title, time, duration, recurrence.
- A session is one occurrence on a date.
Attendance, notes and recordings belong to a session. A weekly class for ten weeks is one class and ten sessions.
Attaching a class to an offering
A class carries a cohort and a course — an offering. That attachment is what puts it on the right learners' schedules and what lets attendance count towards their grade.
A class with no offering behind it is a calendar entry and nothing more. It will show up, people may even attend it, and it will contribute nothing to anybody's attendance mark. Worth checking when an attendance category comes out lower than a cohort expected.
Attendance statuses
| Status | Meaning |
|---|---|
| Present online | Attended remotely |
| Present in-person | Attended in the room |
| Late | Arrived after the start |
| Absent | Did not attend |
| Not marked | The register has not been taken |
Not marked is not absent. It is the absence of a decision, and it is the one to chase.
Instructors see their own unmarked registers on their dashboard. From here you can see everybody's.
Cancelling versus deleting
Cancel keeps the session on the schedule, marked cancelled, with a reason. Learners are notified and connected calendars are updated.
Delete removes it entirely, and there is a batch version for clearing a mis-generated recurrence.
Cancel for something that was scheduled and did not happen. Delete for something that should never have been scheduled. The difference matters three months later when somebody asks what happened on the 14th.
Calendar integration
Where it is switched on, creating, editing or cancelling a class writes to the calendars of everyone who has connected one.
One thing to communicate to a new cohort, once, at the start: connecting a calendar does not backfill. The platform writes on change, so classes that already exist do not appear. Their classes page has a Sync my classes button that fixes it in one press, and it only appears when there is something to sync.
Told once at induction, this is a non-issue. Left untold, it is a recurring support question.
Recordings
Recordings are attached to a session deliberately by whoever ran it. Learners are notified when one is published.
If your organisation has a policy about which classes are recorded and how long recordings are kept, this is the surface it applies to, and it is worth writing down somewhere your instructors will see it. The platform will not decide it for you.
All Submissions
Every submission across the organisation, with the same grading tools instructors have.
Use it for oversight rather than for grading. What it is good at:
Finding a stalled queue. Submissions sitting unreviewed for weeks, on a course whose instructor is away.
Reassigning reviewers. When somebody leaves or is off, work can be handed to whoever is covering.
Spot-checking consistency. Two instructors on the same assignment marking thirty points apart is worth a conversation, and this is where you would notice.
